Our client is looking to recruit a highly experienced receptionist with a a high degree of customer focus and dedication as well as excellent organization skills. This role involves working as part of a reception team in one of our busy buildings or business centres. Duties will include answering and directing calls, booking conference and room space, welcoming visitors and providing administration support to the customers.
Duties
Reception
Meeting and greeting all visitors in a professional manner
Handle all calls in a courteous and polite manner ensuring that all are answered within allotted timescales
Handle and respond to all requests for assistance or complaints
Manage contractors access including their signing in and issuing of site rules and induction and relevant permits to work
Manage car park access and space allocation for visitors and contractors
Monitor site access
Operational Administration
Update monthly finance information including timesheets, overtime logs, expenses and processing and cross checking invoices
Assist the CSM with co-ordinating new customer occupations and organise site arrangements for sales viewings
Participate in site H&S monitoring and update H&S records
Maintain emergency contact information
Handling incoming e-mails and diary management for the CSM
Producing regular reports and summarising documents
Compile local area information for customer use
Order stationery
Maintain filing systems
Update the Correspondence Management System (CMS)
Prepare all correspondence
