This is a Fixed Term Contract to cover Maternity Leave and is therefore for the period of March 2008 to March 2009.
Applications are invited for an Administrator to join the Personnel team at this local College.
The role will focus on data provision and payroll administration. Excellent IT skills are essential to produce statistical information such as absence reports and workforce information, utilising both spreadsheets and the HR database.
The successful candidate must be experienced in working in a personnel-related environment, be able to communicate clearly, demonstrate an awareness of customer service and confidentiality, and also be able to work to tight deadlines.
Main Duties and Responsibilities
1. To create and provide management information reports on regular basis using the HR database.
2. To carry out administrative duties relating to absence management.
3. To provide personnel data to external agencies.
4. To act as the systems administrator for the HR database.
5. To carry out all administrative duties relating to payroll and pensions for all staff, including:· Collating and providing information to the payroll bureau· Dealing with queries· Operating monthly audit checks· Liaising with managers· Maintaining manual and electronic records
6. Maintain a spreadsheet for variable hours contract lecturers.
7. To maintain a College establishment system for managing posts.
8. To draw up and issue contracts of employment, variations and amendments for all staff.
9. To assist with administration of recruitment procedures when required.
10. To maintain, improve and update staff records (manual and database).
11. To maintain and keep up-to-date all Personnel Unit procedures/manuals.
12. To provide support for College consultative committees.
13. To deal with general queries by phone, e-mail and face to face.

16. In addition to the above, the post holder may be required to undertake such duties as reasonably required, commensurate with the grade to support the delivery of a confidential personnel service.
